Webcor reduces email search and retrieval time from days to hours

CUPERTINO, Calif. - Nov. 28, 2005 - Symantec (Nasdaq: SYMC) today announced that Webcor Builders Inc. is using VERITAS Enterprise Vault™ content archiving software, now from Symantec, to help simplify email management, improve employee productivity, and achieve compliance with construction industry regulations governing the retention and availability of business records. Webcor has reduced time spent on search and retrieval for email requests from days to hours using Enterprise Vault, resulting in an administrative cost savings of more than $55,000 each year. The company also uses Symantec Backup Exec™ for Windows Servers software to help protect critical job data for all of its offices.

Webcor Builders is a major commercial general contractor, with roughly 800 employees and more than $1.3 billion in open contracts. The company has completed projects for leading companies including Electronic Arts, Starwood Lodging, and LucasFilm. For Webcor, email is an essential form of communication and the company supplies laptops and Palm handheld devices to employees at each of its construction sites to maximize workforce productivity.

“The number of Webcor employees who rely on email has grown exponentially over the past three years. As a result, our Microsoft Exchange™ servers were becoming overloaded, which negatively affected their performance,” said Gregg Davis, CIO, Webcor Builders Inc. “To solve the problem, we implemented Enterprise Vault, which automatically archives emails out of Exchange and into online stores. This has reduced the burden on our servers, while eliminating the need for additional costly storage hardware by consolidating into a single archive.”

Prior to implementing VERITAS Enterprise Vault, retrieving older email or attachments was a slow, manual process. Individual users were responsible for managing their own mailboxes, and with no clear guidelines for determining what to save or delete, users frequently lost or accidentally deleted records that were potentially important to Webcor.

Webcor now uses Enterprise Vault to automatically move email messages and attachments from the Microsoft Exchange servers to a secure, fully-searchable online repository. To preserve storage space, messages and attachments are compressed and archived only once, regardless of how many times an attachment is passed back and forth.

“Enterprise Vault provides us with a way to search and manage a large volume of email without affecting our end users’ email experience. The product is seamless to our employees—in fact, many users don’t even notice the new icons in their inboxes,” said Davis. “Additionally, the online vault eliminates the need for our users to spend time managing the size and content of their email accounts and also helps ensure they do not accidentally delete important messages.”

Discovery Accelerator Helps Webcor Achieve Compliance
An important factor in Webcor’s decision to implement Enterprise Vault is ensuring compliance with construction industry regulations requiring the retention of certain business records, including email communications. Most of the communications pertaining to Webcor’s job sites are sent via email and the company must keep all records relating to its construction projects up to 10 years. Webcor uses Enterprise Vault Discovery Accelerator to rapidly search and retrieve its e-mail archives for litigation or regulatory compliance issues.

“In the course of general business situations, we’re often required to submit email communications for litigation purposes,” said Davis. “Without Enterprise Vault Discovery Accelerator, complying with a subpoena would be extremely expensive and time-consuming and it would be difficult to know we had recalled the correct information. Knowing we’ve eliminated those risks and streamlined the eDiscovery process is one reason why I can sleep at night.”

Backup Exec Protects Critical Data
In addition to Enterprise Vault, Webcor uses Symantec Backup Exec for Windows Servers software to protect the critical job data for all nine of the company’s sales offices, its primary data center in San Mateo, Calif., and disaster recovery sites in Hayward and Anaheim, Calif. Backup Exec performs nightly backups of more than 1.2 terabytes of Webcor’s critical enterprise data. Using Backup Exec software, Webcor has reduced its backup window from 15 hours to five hours, while accommodating 30 percent annual growth in data.

“With Symantec Backup Exec for Windows Servers software, we have extremely reliable backups,” emphasized Davis. “We spend far less time monitoring backups, saving an average of five hours a week in IT technician time.”
