As a fully browser-based document management system, Content Central™ extends the boundaries of the traditional office. The installed, server-side software works well as part of an intranet, extranet, or stand-alone application. Client workstations only need a standard web browser to access the Content Central™ server. This not only provides quick deployment, but also allows the possibility for secure internet access to the application. Facilities for capturing, managing, and searching documents all exist within the browser-based interface.

New Workflow Rules Provide Automated Document Flow

Commonly used in approval processing, workflow rules assist users in completing work-related tasks based on the content of documents. Content Central™ automatically routes newly-captured documents meeting certain criteria to users assigned to a workflow path. Each user either approves or rejects these documents that arrive in their personal work queue using an easy-to-use interface. “Even though more and more companies decide to manage their information digitally, the need to move this information among personnel doesn’t change. What was once in paper form still needs to be distributed from one employee to the next, and Content Central™ provides an automated means to accomplish this,” says Manuel Montesino, marketing director for Ademero, Inc.

Document-Retention Policies Help Comply with State and Federal Regulations
Many new regulations, such as the Sarbanes-Oxley Act of 2002, lay out specific requirements for retaining documents. Content Central™ version 4 adds a retention-policy management tool to help comply with these regulations. An overall retention policy can be defined for each document collection in the Content Central™ database. When documents expire, Content Central™ removes them from the database.

Document Revision History Keeps Track of Changes

The new Content Central™ versioning system tracks every modification to documents in the system. Reflected as either a major version or minor version, each document revision contains complete details of the modification for historical purposes. Older versions of a document can be accessed along with its current version at any time.

Zonal OCR Makes Document Capture More Efficient

Commonly found in document imaging software, Zonal OCR (Optical Character Recognition) automates the process of adding keywords used for finding documents later. Documents with consistent formatting, such as order forms, charts, and invoices, work best with the Zonal OCR engine. Fewer data-entry requirements exist when employing Zonal OCR, and this reduces the chance that keywords might be misspelled or left out.
